Order Resale/Escrow Documents

If you are selling your home or refinancing, your lender, escrow company, or real estate agent may request certain documents related to your association. To obtain these, please fill out our Resale Document Request Form, and a team member will assist you promptly.

Available Documents

Below is a list of the most commonly requested resale and lender documents, along with a brief explanation of each:

1. Resale Certificate

Required for most real estate transactions, this document includes:

  • Budget & financials

  • Reserve study summary

  • Governing documents (Articles, Bylaws, CC&Rs)

  • Insurance coverage

  • Pending litigation (if any)

  • Outstanding assessments or delinquencies


Used by: Escrow, buyer, lender
Purpose: Provides disclosures as required by Washington State law (RCW 64.34, 64.38, or 64.90)

2. Lender Questionnaire (Standard or Condo-Specific)

Completed on request of a buyer’s lender to assess the financial and legal standing of the association. Information may include:

  • Number of units

  • Delinquency rates

  • Insurance coverage

  • Reserve balances

  • Pending litigation


Used by: Mortgage lenders
Purpose: Helps lenders determine loan eligibility and risk

3. Demand/Payoff Statement

A detailed account of any balance due from the owner including:

  • Assessments

  • Late fees

  • Fines

  • Transfer fees (if applicable)


Used by: Escrow
Purpose: Ensures all amounts owed are paid at closing

Transfer Fee

Spark charges a new account setup fee when ownership of a unit changes. This covers administrative costs related to updating records, creating new owner accounts, and onboarding.

Charged to: Buyer

Purpose: Offsets administrative costs of owner transitions
Cost $100 charged to the Buyer

Important Note

Documents will only be provided if they exist and are available. Not all associations have every document listed—for example, some may not have formal Rules & Regulations or an active Articles of Incorporation.

Turnaround Time & Fees

Standard processing time is typically 3–5 business days after submission of the request form. Rush service may be available upon request and is subject to additional fees. We will confirm costs and timing once we receive your completed form.
